Refunds
Refund card payments in Stripe, put gift card payments back on the card, and keep balances right.
Card payments: refund in Stripe
Apture doesn't issue card refunds itself. You do it in your Stripe dashboard:
- On Money > Payments, find the payment in Transactions and click Stripe in the Reference column to open it in your Stripe dashboard.
- Refund the full amount or part of it there.
Apture hears about the refund from Stripe and updates on its own:
- The payment shows the refunded amount, or Refunded if it was refunded in full.
- Paid so far on the booking goes down, so the balance goes up.
- Money > Payments shows it under Refunded for the period.
- Accounting counts the payment net of the refund.
If you're refunding because the client is paying less, lower the price on the booking afterwards so it doesn't show a balance due. See Adjust a booking's price.
Cancelling a booking doesn't refund it
Cancelling a booking (Cancel booking…, then Cancel booking and free the time) frees the time slot. It doesn't send money back, and the booking's page says so. Refund any deposit in Stripe yourself if you owe one. Only owners and admins can cancel bookings.
Gift card payments: put them back on the card
When a client paid part of a booking with a gift card, the booking shows a button like Put $150 back on the gift card. Click it, then click again to confirm.
The payment is marked refunded and the money goes back on the card, so the client can spend it again. If the card has been voided since, it stays void.
Refunding a gift card purchase
If someone bought a gift card on your website and you refund that purchase in Stripe:
- A full refund voids the card.
- A partial refund lowers what's left on the card.
You get a notification either way. If some of the card had already been spent on bookings, the notification tells you how much.
